Privacy Policy

Effective date: February 26, 2026

Note: This policy is provided for customer transparency and should be reviewed by your legal counsel before production or regulatory use.

1. Overview

RealtorDock is operated by Gustav Intelligence, Inc. ("RealtorDock", "we", or "us"). This Privacy Policy explains how we collect, use, share, and protect information when you use our website and platform (the "Services").

We designed this policy to be readable and practical. If you have questions about a specific workflow, contact us and we will explain how data moves through that feature.

2. Information We Collect

We collect the information needed to run your account and deliver platform features.

  • Account information: name, email, phone number, brokerage, role, and profile data.
  • Business content: contacts, deals, notes, documents, templates, and workflow settings.
  • Communications: call logs, call recordings, transcripts, emails, text messages, and support messages.
  • Technical and security data: IP address, browser/device metadata, usage analytics, and system logs.
  • Integration data: information from connected tools such as Google, MLS sources, DocuSeal, and payment processors.

3. AI Processing and Model Providers

Some features use AI models to classify, summarize, draft, route, or automate work. To provide those features, we may send relevant request data to third-party model providers.

Current providers include OpenAI, Anthropic, and Google. We may add or replace providers over time to improve quality, reliability, or availability.

  • We apply data minimization: only the fields required for the requested task are sent.
  • We use provider controls and contracts intended to limit unauthorized retention and misuse.
  • We route requests to the most appropriate provider for the task; not every request is sent to every provider.
  • Where available, we configure provider settings to reduce training or secondary use of customer data.

4. User Approval Controls for Outbound Communications

You control whether AI-generated outreach is sent automatically or requires review.

  • By default, critical outbound communications can be configured to require user or admin approval before send.
  • Approval settings can vary by channel (email, text, call scripts) and by role.
  • You are responsible for reviewing final communications for legal, contractual, and regulatory requirements in your market.

5. How We Use Information

We use information to:

  • Operate and improve the Services, including AI-assisted workflows.
  • Provide customer support, onboarding, and account administration.
  • Process billing and subscription management.
  • Detect abuse, enforce security, and investigate incidents.
  • Meet legal obligations and respond to valid legal requests.

6. Sharing and Disclosure

We do not sell personal information. We share data only as needed to operate the Services.

  • Infrastructure and service providers acting on our instructions.
  • AI model providers for AI-enabled workflows, as described above.
  • Integrated third-party apps you connect.
  • Professional advisors, auditors, and insurers.
  • Government or law enforcement where legally required.

7. Data Minimization, Isolation, and Logging

Security and privacy controls are built into platform operations.

  • Data minimization and scoped processing for feature-specific tasks.
  • Tenant isolation controls designed to keep customer environments logically separated.
  • Additional isolation options may be available by plan, including ephemeral or dedicated execution environments.
  • Audit logging for key administrative actions, configuration changes, and sensitive workflow events.

8. Retention and Deletion

We keep data for as long as needed to provide the Services and satisfy legal or contractual obligations. Retention windows vary by data type and account settings.

You can request export or deletion of your data. Backup deletion may occur on a delayed schedule.

9. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, export, or delete personal information.

You can submit requests through account settings or by emailing hello@realtordock.com.
